Manage Inquiry

This is the 2nd screen of manage student. Added inquiries are shown on manage inquiry page in list view. We can take follow ups from here also we can fill enrollment form from here if any student wants to enroll. Follow up history mention in manage follow up page in detail. As shown in following image it shows number of inquiries in list view in details.

 

**** 4.2.1 Manage Inquiry Screen ****

Field Description: -

  1. Select Branch: - This is a filter named select branch. You can filter/search enquiries by selecting the branch. When u select any branch then it will show all the enquiries related to that branch you selected. After selecting any keyword, you have to click on search button to search enquiries.
  2. Added To: - This is a filter named added to. You can filter/search enquiries by selecting the added to staff. When u select any staff, whom added the enquiries in system from the dropdown list then it will show all the enquiries related to that staff you selected. After selecting any keyword, you have to click on search button to search enquiries.
  3. Assigned To: - This is a filter named assigned to. You can filter/search enquiries by selecting the assigned to staff. When u select any staff whom the enquiries are assigned in system from the dropdown list then it will show all the enquiries related to that staff you selected. After selecting any keyword, you have to click on search button to search enquiries.
  4. Source By: - This is a filter named source by. You can filter/search enquiries by selecting the source type. When u select any source from the dropdown list then it will show all the enquiries related to that source you selected. After selecting any keyword, you have to click on search button to search enquiries.
  5. Response By: - This is a filter named response by. You can filter/search enquiries by selecting the response type. When u select any student response from the dropdown list then it will show all the enquiries related to that response type you selected. After selecting any keyword, you have to click on search button to search enquiries.
  6. Follow-up Date From to follow-up To Search: - This is a filter named date filter. You can filter/search enquiries by selecting the Date range. When u select the date range then it will show all the enquiries between that date ranges. After selecting any keyword, you have to click on search button to search enquiries.
  7. Select lead Grade: - This is a filter named lead grade filter. You can filter/search enquiries by selecting the lead grade type. After selecting any keyword, you have to click on search button to search enquiries.
  8. Select Follow-up Type: - This is a filter named Follow-up Type filter. You can filter/search enquiries by selecting the Follow-up type. After selecting any keyword, you have to click on search button to search enquiries.
  9. Keyword: - This is a filter named keyword filter. You can filter/search enquiries by entering student name or any course name. When you enter any student name or mobile number then it will search that name or number and show you the result related to that entered student name. After entering any keyword, you have to click on search button to search enquiries.

This is screen of inquiry follow-up details screen. Added inquiry follow-up are shown on inquiry follow-up page in detail in list view. See the following image of follow-up details page.

**** 4.2.2 Inquiry Follow-up Details Screen ****

Update Follow-up: - You can update follow-up from here. The button of update follow-up is top right side of the list.  The following images shows update follow-up screen.

Field Description: -

  1. Student Details: - In this section you can see the details of the student.
  2. Lead Category: - In this field you have to check the lead category. If the lead is coming through phone then select phone. If the lead came through the walk-in then choose walk-in. This field is Mandatory.
  3. New Follow-up Date: - In this field you have to enter new follow-up date.  When you click on this field, the date picker is open and you just select the next follow-up date. This field is Mandatory.
  4. Lead Grade: - This is lead grade filter in which we can search leads grade wise. You just have to select lead grade type and click on search button then it will show all leads related to that grade you selected.
  5. Response Category: - In this field you have to select response category that is student response for the next follow-up from the dropdown list. This field is mandatory.
  6. Follow-up Description: - In this field you have to enter follow-up description. You have to add what type of follow-up it is. Is student interested for next follow-up or not. This field is not mandatory.

Add enquiry

Add Inquiry: -

This is 1st screen of our Manage Student Module that is Add inquiry. In this Screen we can add student course inquiry here. We add student course enquiry related details like which course he/she has interest, student personal details etc. Those fields having red star in screen are mandatory fields. Following image shows the view of Add inquiry form screen.

 

 

****4.1 Add Inquiry Screen ****

 

 

Field Description: -

  1. Enquiry Date: - In this field you have to enter enquiry date.  When you click on this field, the date picker is open and you just select the date. This field is Mandatory.
  2. Lead Category: - In this field you have to check the lead category. If the lead is coming through phone, then select phone. If the lead came through the walk-in then choose walk-in. This field is Mandatory.
  3. First Name: - In this field you have to enter first name of student. This field accepts only characters no white space and number. This field is Mandatory.
  4. Middle Name: - In this field you have to enter middle name of student. This field accepts only characters no white space and number. This field is not mandatory.
  5. Last Name: - In this field you have to enter last name of student. This field accepts only characters no white space and number. This field is not mandatory.
  6. Birth Date: - In this field you have to enter birth date.  When you click on this field, the date picker is open and you just select the date. If the selected date and current date gap is less than 18 years then that student is not eligible to take any course. This field is Mandatory.
  7. Marital Status: - In this field you have to select the student’s marital status. This field is not mandatory.
  8. Gender: - In this field you have to select the student’s gender. This field is not mandatory.
  9. Address: - In this field you have to enter the student’s address. This field is not mandatory.
  10. Mobile1: - In this field you have to enter the student’s mobile number. This field accepts only numbers not white spaces, characters and special characters. This field is mandatory.
  11. Mobile2: - In this field you have to enter the student’s alternative mobile number. This field accepts only numbers not white spaces, characters and special characters. This field is not mandatory.
  12. Landline Number: - In this field you have to enter the student’s landline number. This field accepts only numbers not white spaces, characters and special characters. This field is not mandatory.
  13. Email: - In this field you have to enter Students personal email address. The email address should be in proper format. Example-(yourname@gmail.com). This field is not mandatory.
  14. Select Country: - In this field you have to select Country. This field is not mandatory.
  15. Select State: - In this field you have to select State. This field is not mandatory
  16. Select City: - In this field you have to select City. This field is not mandatory
  17. Select Area: - In this field you have to select Area. This field is not mandatory
  18. Education: - In this field you have to select Students education from drop down list. This field is not mandatory.
  19. Course Interested: - In this field you have to select the course that student has interest from course drop down list. This field is mandatory.
  20. Duration of Study: - when you select the course then this field is automatically displaying the duration of that course. If you want to change the duration, then you can change it. This field is not mandatory.
  21. Course fees (with CGST 9% and SGST 9%): - when you select the course then this field is automatically displaying the course fees. If you want to change the fees, then you can change it. This field is not mandatory.
  22. Prefer Batch: - In this field you have to select Students education from drop down list. This field is not mandatory.
  23. Enquiry Source: - In this field you have to select Enquiry source from which enquiry has come from down list. This field is mandatory.
  24. Remark: - In this field you have to enter remark any query of student you can add. This field is not mandatory.
  25. Enquiry For: - In this field you have to enter description, if student want to know any other course details. This field is not mandatory.
  26. New Follow-up Date: - In this field you have to enter new follow-up date.  When you click on this field, the date picker is open and you just select the next follow-up date. This field is Mandatory.
  27. Follow-up Description: - In this field you have to enter follow-up description. You have to add what type of follow-up it is. Is student interested for next follow-up or not. This field is not mandatory.
  28. Lead Grade: - In this field you have to select the lead grade depends on the follow-up of student. If student is most interested for next follow-up then you can select very hot or hot as a lead grade. If student is least interested for next follow-up then you can select warm as a lead grade. If student is not interested for next follow-up then you can select neutral or cold as a lead grade.  This field is mandatory.
  29. Response Category: - In this field you have to select response category that is student response for the next follow-up from the dropdown list. This field is mandatory.
  30. Assigned To: - In this field you have to select staff that you want to wish to take next follow-up. You can select your name if the lead is yours. This field is mandatory.
  31. Reset Button: - It about enabling and disabling MRP and Base price.
  32. Submit Button: - This is Submit button. When you fill all the fields then you can submit the form. If any wrong field submission is done, then it gives error on the top of the page. You have to correct that filed errors and then re submit the form.

Manage Enrolled Student

Manage Enrolled Student: -

This is 4th screen of our Manage Student Module that is Manage Enrolled Student. In this Screen we can manage enrolled Students here in details. Added enrolled students are shown on manage enrolled student page in list view. On clicking on student name, we see the Course history here.

See following image (4.4).  In this you can add new course from here. No need to make new enroll again for the same student. You can see the down fees, balance fees here. Also, kit details image, log sheet details, payment details and follow-up details from here.

Also, you can get receipt of fees paid by student from this page. Following image (4.4) shows list view of enrolled Students.

Field Description: -

  1. Keyword: - This is a filter named keyword filter. You can filter/search enrollment by entering student name or any course name. When u enter any student name or mobile number then it will search that name or number and show you the result related to that entered student name. After entering any keyword, you have to click on search button to search enquiries.
  2. Export to Excel: - This is shown excel sheet symbol on top of the list. By clicking on this icon, you can get excel sheet format of all enroll students.

 

**** 4.4 Manage Enrolled Student Screen ****

How to Access particular Student record: -

You can access any student by just clicking on student name. After clicking on student name, you can see the student’s details as shown in image (4.4.1).

**** 4.4.1 Student Course History Screen ****

 

  • : - following image (4.4.2) shows student kit screen. You have to add products here which your sales to student with quantity of that product.

**** 4.4.2 Student Kit Details ****

Field Description: -

  1. Product Name: - This is field in which you have to select the product name you sale to student. You can add multiple products by clicking on plus icon. If you want to delete then you can delete it by clicking delete icon. This field is mandatory.
  2. Quantity: - This is field in which you have to enter selected product quantity. This field accepts number only. This field is mandatory.

 

View Payment: - following image (4.4.3) shows student payment details screen. You can see the payment history of student here. You can see fees installments of that student with status paid and not paid. Field description given after the following image.

**** 4.4.3 Student Payment Details ****

Field Description: -

  1. Paid Installment (in image see 1st record): - This is 1st installment and which is paid. Hence the status is paid, in view column the receipt is available. For view receipt see image (4.4.3). If that student pays the GST then the column has green tick as shown in image (4.4.4). Because of installment paid follow-up column is blank. Because of installment was paid print icon also available for print the receipt.

 

**** 4.4.4 Student Payment Receipt ****

 

  1. Not Paid Installment (in image see 2nd record): - This is 2nd installment and which is not paid. Hence the status is not paid, in view column the receipt is not available as well as print icon also not available because of installment is not paid. Because of installment is not paid follow-up column is available for take follow-up. In this image follow-up image is in gray color that is this installment is future installment.

 

Follow-up color icon description: -

  1. Yellow color: - yellow color icon shows follow-up details of that installment.
  2. Green Color: - green color icon shows upcoming/current installment details.
  3. Red Color: - red color icon shows past installment details.
  4. Gray Color: - green color icon shows future installments.

 

  1. Pay (GST): - Because of 2nd installment is not paid you can see the plus icon to make payment. On clicking on this icon, you can see the payment page. As shown in image (4.4.5)

 

**** 4.4.5 Student Add Payment Screen ****

Field Description: -

  1. Invoice Due Date: - In this field system shows due date automatically of that installment. This field is mandatory.
  2. Date: - This field shows current date because you doing payment entry for today. This date is payment date.
  3. Enrollment Number: - This is enrollment number. Which is shown automatically by system and it is mandatory.
  4. Student Name: - This shows student name. Which is shown automatically by system and it is mandatory.

 

  1. Course Name: - This shows course name. Which is shown automatically by system and it is mandatory.
  2. Total: - This shows total amount. Which is shown automatically by system and it is mandatory.
  3. Discount: - This shows Discount. Which is shown automatically by system and it is mandatory.
  4. Down Payment: - This shows down payment amount. Which is shown automatically by system and it is mandatory.
  5. Paid: - This shows paid amount. Which is shown automatically by system and it is mandatory.
  6. Balance Amount: - This shows balance amount. Which is shown automatically by system and it is mandatory.
  7. Deposit amount: - In this field you have to enter the amount that student is paying. This field accepts only numbers and it is mandatory.
  8. CGST 9%: - The CGST is automatically calculated on deposit amount entered. This field accepts only numbers and it is mandatory.
  9. SGST 9%: - The SGST is automatically calculated on deposit amount entered. This field accepts only numbers and it is mandatory.
  10. Select Payment Mode: - In this field you have to select payment mode from drop down list. If you select cheque then you have to enter cheque details, if you select credit card then you have to enter credit card details This field is mandatory.
  11. Installments: - If the deposit amount is less than balance amount then it shows remaining amount as a new installment here with status as not paid.
  12. Remaining Amount: - this field shows remaining amount to be paid as per the calculation of balance amount and deposit amount.

Edit Installment: - You can edit installment from here. The edit installment link is right side of the page as sown in image (4.4.3) in blue color. On clicking this link, you can redirect on new window that is edit installment as following image shows edit installment screen. Image (4.4.6)

 

**** 4.4.6 Edit Installment Screen ****

Field Description: -

  1. Select Course (with service tax): - In this field system shows course of student on which he/she paid installment. This field is mandatory.
  2. Paid Type: - In this field you have to select the paid type of fees. The types are one time, installment 5% add and installment 0% add. If you select installment 5% then it will auto calculate the 5% on course fees amount. This field is mandatory.
  3. Course fees: - when you select the course then this field is automatically displaying the course fees. This field is not mandatory.
  4. Discount in % or cash: - when you select the discount in % then discount will calculated in percentage. If you select discount in cash then it will calculate the discount in cash that is in rupees. This field is not mandatory.
  5. Discount coupon code: - If student have any discount coupon code then you can apply it from here. If the coupon code is valid then it is automatically applying the discount if not then it shows error massage. This field is not mandatory.
  6. Net fees (with Tax): - when you select the course, discount then this field is automatically calculating the course net fees. This field is mandatory.
  7. Service Tax (15%): - The service tax is automatically calculated by system on course net fees. This field is not mandatory.
  8. Total Fees: - The total fees are automatically calculated on course net fees and total GST. This amount is excluded tax amount. This field is mandatory.
  9. Down payment (with Tax): - when you select the course, discount then this field is automatically calculating the course down payment fees. This field is mandatory.
  10. Service tax in Down payment (without Tax): - The down payment fees is automatically calculated on course net fees and total GST on down payment. This amount is excluded tax amount. This field is mandatory.
  11. Installment On: - In this field you have to enter an amount on which student gives installments. When you select the number of installments then it shows that number of installments with the equally divided amount. You have to select the installment date with ascending order for each installment. You can change the installment amounts. This field accepts only numbers. This filed is not mandatory.
  12. Number of Installment: - In this field you have to select number of installments. This field accepts only numbers. This filed is not mandatory.

Add New Couse: - You can add new course from student details page if student want to do new course. No need to create new enrollment. On clicking new course column as shown in image (4.4.3) you can add new course for that student. See following image (4.4.7) for add new course. This is same screen when you add new enrollment but the difference is only the student’s details are auto filled when you add new course to the past student.

Field Description: -

  1. Admission Date: - The admission date is current date always. This field is Mandatory.
  2. Enrollment Number: - The enrollment number is auto generated. If you want to change the number then you can change it. This field is not mandatory.
  3. Contact Number: - You have to enter enroll student Contact number here. This field accepts only numbers no characters and white spaces. This field is mandatory.
  4. Email ID: - In this field you have to enter Students personal email address. The email address should be in proper format. Example-(yourname@gmail.com). This field is not mandatory.
  5.  Qualification: - You have to select student qualification here from dropdown list. This field is not mandatory.
  6. Username: - You have to enter student username for login details. This field accepts only numbers and characters. This field is mandatory.
  7. Password: - You have to enter student password for login details. This field is mandatory.
  8. Photo: - You can upload student photo from here. By clicking browse button you can add student photo. This field is not mandatory.
  9. Current Address: - You have to enter student current address here. This field is mandatory.
  10.  Permanent Address: - You have to enter student permanent address here. This field is not mandatory.
  11.   Date of Birth: - In this field you have to enter birth date.  When you click on this field, the date picker is open and you just select the date. If the selected date and current date gap is less than 18 years then that student is not eligible to take any course. This field is Mandatory.

  35. Final Amount: - Final amount is same as course net fees amount. This amount is included tax amount. This field is mandatory.
  36. Assigned To: - In this field you have to select staff that you want assign. You can select your name if the lead is yours. This field is mandatory.

Action: - this is column in student details page. In this page you can view the student personal details, course details, student kit issue, fees details and enrollment related details. In this page you can add certificate details and Testimonial details. On clicking action column as shown in image (4.4.3) you can see that student all of this detail. See following image (4.4.8) for action page.

**** 4.4.8 Action Screen ****

Field Description: -

  1. Personal Details: - In this section you can see the student’s personal details.
  2. Course Details: - In this section you can see the student’s course details.
  3. Fees Details: - In this section you can see the student’s fees details.
  4. Action (Enrollment Related): - In this section you have to make action on student log sheet, schedule induction. If this is completed then you have selected the action box, date and counselor name.
  5. Kit Issued Details: - In this section you can see the student’s kit issued details.
  6. Action (Certificate Related) and Action (Testimonial): - This section access is only for center manager and admin.

 

Attendance Report

Attendance Report: -

This is 8th screen of our Manage Student Module that is attendance report. In this screen we can view students report as batch wise. Also, we can search that report branch wise as we give filter there.

This report shows all student report like how many days he or she is present, how many days he or she is absent, percentage of present and when that record is added.  Following Image shows the screen of student report.

Field Description: -

  1. Select Batch: - In this field you have to select the Batch and click on search button to search student batch wise.
  2. Select Student: - In this field you have to select the student batch wise and click on search button to search batch wise.

When u enter any student name then it will search that name and show you the result related to that entered student name. After entering any keyword, you have to click on search button to search student.

ManageĀ Attendance

Manage Attendance: -

On this screen, you can see the imported staff attendance by selecting staff name. You can also see all staff attendance at a time. Following image shows staff attendance.

Pink line shows Sunday. Last row of the record shows total number of present days.

Import Campaign Enquiries

Import Campaign Services

This is 20th screen of our Manage Services Module that is Import campaign Services. In this sub module you can import enquiries that came from campaign. See the following screen of import campaign service.

  1. Select Campaign Name: - In this field you have to select campaign name. It   is mandatory.
  2. Import Excel File: - You can upload Excel file with .xls extension from here. By clicking browse button you can browse your file which you want to import. This field is mandatory.
  3. Download Format: - In this filed you can download the excel sheet format. You have to upload same format when import campaign services.

  9. Assigned To:- In this field you have to select staff that you want assign. You can select your name if the lead is yours. This field is mandatory.

Check Existing Lead

Check Existing Lead: -

This is 13th screen of our Existing lead Module that is lead. In this form we can existing add lead. We can print this list also. And also, we can send mail and SMS. In this screen we have to just check the checkboxes. This very simple form to use that is user friendly.  Following image shows the screen of today’s report.

  1. Select Campaign Name: - This is a filter named select campaign name. When you select campaign name, enquiries will select as campaign name.
  2. Import Excel file: - In this field you can import excel file of course. You can browse file from browse button. This course directly added into course.
  3. Download Excel: - You can download the format of excel file from download excel option given below the save button. You have to import excel file in the given format.

Follow-up Report

Follow-up Report: -

This is 6th screen of our Manage Student Module that is follow-up Report. This screen is same as follow-up summary page only the difference is, we can search the students via lead grade wise. In this screen we can view all student list with details of which course he or she is interested and how much interested that is this is screen of history of inquiry follow-up page.

 

On this screen we can view student name, phone number, course he or she is interested, follow up date, how to take follow up also who take it and lead grade as (neutral cold, warm etc.). We Provide a date filter here hence we can search the summary date range wise. This is simple report of follow ups against inquiries. Following image show the list view of follow up Report.

****4.6 Follow-up Report Screen ****

Field Description: -

  1. Lead Grade: - This is lead grade filter in which we can search leads grade wise. You just have to select lead grade type and click on search button then it will show all follow-up details related to that grade you selected.

 

  1. Consultant wise: - This is consultant wise filter in which you have to select the consultant name and click on search button then it will show all follow-up details related to that Consultant you selected.
  2. From Date - To Date Search: - This is a filter named date filter. You can filter/search leads by selecting the Date range. When u select the date range then it will show all the follow-ups details between that date ranges. The range to date is always greater than from date. After selecting date range, you have to click on search button to search follow-up details.

Follow-up Summary

Follow-up Summary: -

This is 5th screen of our Manage Student Module that is follow-up summary. In this screen you can view all student list with details of which course he or she is interested and how much interested that is this is screen of history of inquiry follow-up page. Also, the records are display only for next two days follow-ups.

 

On this screen we can view student name, phone number, course he or she is interested, follow up date, how to take follow up also who take it and lead grade as (neutral cold, warm etc.). By clicking on particular student, you can view that student follow-up separately in new window as shown in following image.  You can also update follow-up from here. For going back there is back button. Close enquiry option only access by admin or center manager.

Import Student

Import Student: -

This is 9th screen of our Manage Student Module that is Import student. In this screen we can import students.

We have provided excel sheet format that which format you have to upload the excel sheet. The file format is must be .xls format. The Following Image shows the screen of import student page.

  1. Manage Model Bank: -

This is the 15th screen of the manage model bank. Manage bank records are added here when you click on Save button of manage model bank.

1.First name: - In this field you have to enter name. This field is mandatory.

2.Mobile: - In this field you have to enter Contact number. This field is mandatory.

3.Email: - In this field you have to enter Students personal email address. The email address should be in proper format. Example-(yourname@gmail.com). This field is not mandatory.

4.Address: -You have to enter student permanent address here. This field is not mandatory.

5.Preferred For: - You have to give preference to course. This field is mandatory.

6.Remark:- -In this field you have to enter remark any query of student you can add. This field is not mandatory.

Manage Agent

  1. Manage Agent: -

This is the 16th screen of the manage agent. All the agent records are display here. You can search the records using the filters.

****4.14 Manage Agent Screen****

File Description: -

  1. User Type: - In this field you have to select user type that is which type of user you were creating. This field is mandatory.
  2. Keyword: - This is the filter named Keyword. You can enter the any book name or user name then the record get should be displayed

Add Agent

Add Agent: -

This is the 17th screen of the manage add agent. You can add the agent here. After adding a agent, you have just click on add staff. Record will be stored.

File Description: -

1.Select User Type: - This is a field where you can add the user type (Ex. Employee, Customer or Student). After Enter the user type you should enter the name or mobile no of the customer. This field is mandatory.

2.Agent Details:- This field you have to enter all details related to the agent. This field is not mandatory.

3.Name:- In this field you have to enter name. This field is mandatory.

4. Mobile No:- In this field you have to enter Contact number. This field is mandatory.

  • :- In this field you have to enter Students personal email address. The email address should be in proper format. Example-(yourname@gmail.com). This field is not mandatory.

6.User Name:- you have to enter username given by administrator. This field is case sensitive, so you have to write capital small letters and numbers properly. This field not accept white spaces. This field is mandatory.

  • - You have to enter  password for login details. This field is mandatory.

 

8.Company Details:- You have to enter company details. This field is not mandatory.

9.Company Name:- You have to enter company name. This field is not mandatory.

10.Mobail no:- In this field you have to enter Contact number. This field is not mandatory.
